How can HGV operators use tachograph data to make better operational decisions?

Tachograph data does more than prove compliance. Used properly it tests route feasibility, sharpens scheduling, evidences incidents and shows whether infringement rates are rising or falling.

I am often asked this question by operators which always leads into a productive chat as there are crucial benefits in the answer. Some of the points regularly discussed are located below.

Short answer

Tachograph data is the source of key information that defines how vehicles and drivers are performing, the effectiveness of the initial route planning and other metrics that define levels of compliance and operational effectiveness. All this information is key for transport operators striving to improve operational efficiency.

What operational data is captured by a tachograph beyond compliance information?

Beyond the standard daily outputs of driving time, other work, breaks and so on, vehicle units log a number of additional operational data fields that are useful to tap into when required. This includes the company card locks register, the control card activity records, the tachograph unit identification information (useful for third-party remote download configuration), sensor pairing records, calibration records, card use records and ITS consent records. 

How can driving time data be used to assess run and route feasibility?

Driving time data is the source for understanding levels of operational effectiveness on the road. The raw data provides metrics on infringements and route planning issues that would not otherwise be visible. Pair infringement flags with location or tracking data and the results are valuable data-led answers that improve future planning and operational decision making. 

How can tachograph data improve driver scheduling and allocation decisions?

Tachograph data shows whether scheduling and planning decisions are working, or if set routes are failing regulatory parameters. A clear answer on what works and what does not allows for immediate, targeted change. This is invaluable for new route planning and driver roster expansion. 

How can tachograph data support accident investigation?

Raw tachograph files carry a digital signature, so any alteration after download should be detected. That makes them a credible, unbiased record in the event of an accident investigation, provided the data is downloaded and preserved promptly. 

GNSS location data provides further evidence by way of verifying the vehicle’s location on the day. This is not as accurate as a tracker service due to the location only recording at the start, end and every three hours of accumulated driving time but does help to confirm the vehicle’s general whereabouts.

How can trend data be used to justify investment in compliance resources?

A single month's analysis tells an operator that infringements occurred. Trend data tells them whether the position is improving, holding or deteriorating and at what rate. That distinction is what turns a compliance report into a business case.

It supports three arguments. Direction of travel against a baseline shows whether current resourcing is working: if infringement rates are flat after twelve months of driver briefings, the briefings are not the fix. Concentration attributes the problem - one depot, one shift pattern, one contract - converting a vague case for "more compliance" into a specific, costable intervention. And a documented trend with a documented response carries real weight at a public inquiry; a flat or rising trend with no recorded action is the opposite.

For the budget-holder, the comparison is between the cost of the intervention and the cost of the current rate continuing. Trend data is what makes that comparison possible, because it gives a measurable baseline and a target to report against.

Building a data-driven compliance culture using tachograph insights

A compliance culture forms around what gets measured and fed back. Tachograph analysis supplies the measurement; the culture depends on what the operator does with it.

That means three habits. Report the same figures every month, so drivers and managers see a consistent picture rather than an occasional audit. Debrief on patterns rather than incidents - a driver who repeatedly runs short on daily rest has a scheduling problem, not a discipline problem, and treating it as the latter teaches drivers to hide it. And make the response visible: when analysis leads to a change in planning or routing, say so, because that is what demonstrates the data is used rather than filed.

The test is whether infringement counts fall while reporting stays honest. Counts that drop because drivers have learned what not to record are worse than the original position.
